You can keep track of your bank and cash account balances by the following ways:
a. You can view cash and bank current balances at the bottom section of the transaction screen for a quick glance.
b. You can view cash and bank balance by weekly / monthly / quarterly / yearly / wise in the group summary report .
C. Account ledger report can be used to view balance of bank/cash with list of transactions for the given period.
You can search for a transaction in the transaction list (available on the right side of transaction screen). The right side of transaction screen shows the list of previously entered transactions. To search for a transaction you have to type the description on the "Description" column or click on any column to get the list by group wise.
Select “setup” from the main screen and select any account header such as Cash & Bank, Credit Cards, Income and Expenses etc. from the Account List, entry details will then appear on the left side. Click “new” to add a new account name, select a group from the Group drop down and click save to save the transaction.
Click “Setup” from the main screen and select on any account such as “bank / cash / credit card”, details of that respective account can then be seen on the left side of the screen and enter opening balance figure in opening balance column.
You can see list of entries of a particular account in the group summary report and the account ledger report. In Group Summary report, you can view the list of entries by month / week / year / quarter wise. To get the detailed listing you can double click on the summary balance. Account ledger report is to view details of account-wise transactions of the selected account for a given period.
There are two Options to create budget for expenses and income, they are as follows:
First by selecting income or expense to fill the budgeting details. You can enter your budget amount manually in budgeted column and click “Save” to save that entry.
You can also auto fill your budget figure by your monthly average figure or current month figure by clicking the option "Auto fill budget by" and by clicking save to save those fillings. You can also verify shortfall and surplus amount for your expense and income.
There are many deductions that you can claim for expenses incurred while performing your job, child’s education etc. but, to support your claim, you need to make sure you have the receipts to prove the purchase and also you can log through budget diary and acquire report based on that. While you enter your daily transactions through transactions screen, tick “tax deductible” when this transaction supports the tax claim. Tax deductible report; click “Execute” to view the report in the given period. Click “Print” to print the same.
Graphical analysis present complex information of data quickly and clearly in horizontal bar charts, vertical column charts, and round or oval pie charts reporting formats, that can summarize a lot of statistical information. You can view a broad graphical report on your monthly income and expenses.The graphical representation provides a bird's eye view of your current standing on your financial stability.
Click on the graph bar to drill down to a selected month. Click again to further drill-down to see account wise comparison. Right click to go back to the previous position. You can also print the selected screen using “Print” button and print preview to export as PDF file.
Graphical report can be customized to only show income or expenses by selecting the “Customize Chart“ button.
You can get the selection to customize the particular graph at the right end corner of analysis screen.
We can manage our documents through Budget Diary in a very simple way. It has an option to keep track of documents (in Word, Excel ,PDF, JPEG formats). It acts as a pointer to your documents lying deep within different sub folders on our computer however it won’t save the documents physically inside the Budget Diary. Double clicking on the added link opens to view and also you can take printouts.
You can also create link to your important documents such as passports, identity cards, drivers licence, agreements etc. through “Important Documents”; link scanned copy through “Stored Path” and It can also stores information of expiry dates of documents. You can setup reminders by filling the expiry date and when you put "remind days before expiry", you will be notified with a reminder prior to the expiry.
Dashboard is a one-click access to see everything. Dashboard offers a simple graphical view of your financial position. It provides a quick glance of summary of data associated with your budgeted figure. You can select the month from the drop box selection on your dashboard. Expenses and Income figures show the total for that selected particular month. But Cash and Bank, Credit Cards show current position.
Files need to be copied regularly to a disk or tape as a precaution in case the primary medium fails. Even the most reliable computer is prone to break downs, viruses etc. We recommend that you make regular backup of your data. To be particularly safe, you should keep one alternative or substitute in a different location from the other.
Click “Backup Data” on the main screen. Destination path' is where you want to backup and keep the data. You may keep the data in CD or in any other drive. Select “Destination" path and click “Next” to complete backup.
Restore means to return the data or get the data back to the prior consistent state. In the event of computer problems such as disk drive failures, restore it from alternative or substitute backup copy. Click “Restore Data “in the system maintenance, select the backup File path to choose the back-up file location. Click “start” to restore process. Type “I Agree” as security code to restore the data.
Select “setup” from the main screen and select any account header such as Cash & Bank, Credit Cards, Income and Expenses etc. from the Account List, entry details will then appear on the left side. Click “Edit” to edit an existing account and then save the same. Similarly, click "Delete" to delete an existing account.
“Create Account” option in transaction screen allows you to create a new account. While making an entry, if you cannot find the desired account, you can create the account without leaving the transaction screen.
Opening balance is money carried forward from the previous term (say a week, month, year etc) or the amount of funds in an account at the beginning of a period, especially a month or year. For example, if one has a bank account with a balance of $1236 at the end of August, this becomes the opening balance for the beginning of September. It’s not required to put opening balance of all accounts except bank, cash and credit cards.
Last unpaid balance becomes the next month's opening balance of credit card.
Clone option can duplicate any entry without being fully entered .Likewise you can clone any transaction from the “Transaction History”.Click on any transaction and then click “clone” to duplicate that selected entry.
“Memorise" option in transaction screen is used to bookmark your future reference of any notable entry and is also used for any recurring transaction. Recurring entries include loan payment, rent, insurance etc. Select any transaction from the “Transaction History” list and click “Memorise” to memorise that transaction and if you want to recur the same entry from the memorise list, you can click “clone” to duplicate that entry. Memorised transactions will be shown in separate tab near to “Transaction History”
Budget diary’s trial version (shows as unregistered) allows people to enter maximum of 10 transactions, would not accept further entry beyond that during trial mode. Once you complete the payment process, you will be sent your Budget diary’s serial No and Registration No. to register. Enter your serial and registration number by clicking “Provide Registration Information” and click “Activate” to activate Budget diary. If you have any trouble in activating Budget Diary by option 1, we will send your activation file by email. For this, the user will need to provide us with the Machine Id (machine id is shown in the machine id field in registration screen). Select “Activate using the received activation file" and download that received file and click “Activate” to activate Budget Diary.
You can get your password via email, for this; make sure the email address you entered in the initial registration is correct. Click “setup” from main screen and click “Registration” to see your entered details. You will be prompted with “Forgot Password” if you enter the password wrongly more than twice. You can click the “Forgot Password” to have your existing password sent to your email.
If "Remove Registration" was clicked accidentally, you will be immediately logged-out of Budget Diary. An activation screen will emerge again in your very next login, to register back in Budget Dairy, enter your provided serial number and registration number by clicking on “Provide Registration Information” option and then click “Activate” to activate Budget Diary again. “Remove Registration” will remove your registration key. It’s not advisable to remove registration key unnecessarily, and new entries can be added only after Budget Diary is activated.
Select "Skin" option on the top right corner of the main menu to change your screen appearance.
If you want to verify or edit any transaction in Group Summary / Account Ledger report, it can be drilled down to the source transaction by double clicking the respective column.
You can make your own way of grouping by dragging column headers in Transaction History. Similarly, you can drag and drop any column header to above portion accordingly to group the listing by that column header. Example: Drag and drop “Type” column header to above portion to get the grouping of transaction history list by “Type”.
